Why Accessible Vehicles Need Phone Booking (The Honest Reality)

We’ve been providing wheelchair accessible transport since 2018. Licensed under Wolverhampton Council (PHOP445). And I need to be completely honest with you from the start. We have limited accessible vehicles. Most taxi companies do.

Our standard fleet is 30+ vehicles. Our wheelchair accessible fleet is 2 vehicles. That’s the reality. We can’t take online bookings for accessible transport because we need to check vehicle availability first and discuss your specific needs.

This isn’t us being difficult. Wheelchair users have different requirements. Someone in a lightweight manual chair has different needs than someone in a heavy powered chair. Someone who transfers independently is different from someone who needs assistance. We need to talk through the details to make sure we can actually help you properly.

We’ve probably done 500-600 accessible transfers over the years. The airport runs mostly. Hospital appointments. Family events. Each one requires proper planning because, unlike our regular fleet, where we have 30 vehicles to choose from, we have 2.

Our Accessible Vehicles (What They Actually Are)

Let’s be specific about what we have.

Vehicle Type: Both are Ford Transit Custom WAVs (Wheelchair Accessible Vehicles). Not adapted saloons. Proper purpose-built accessible vehicles.

Entry System: Rear ramp. Electrically operated. Deployed by the driver. Gradient-rated for safety. Takes about 30 seconds to deploy and secure.

Interior Space: Wheelchair secures in the rear passenger area facing forward. Four-point securing system (two front, two rear anchor points). Lap and diagonal seatbelt for wheelchair users.

Wheelchair Size Limits: Width: Up to 70cm (27.5 inches) Length: Up to 120cm (47 inches) Height: Up to 135cm when seated (including headrest) Weight: Up to 300kg combined (wheelchair plus user)

Most standard manual wheelchairs fit easily. Most powered wheelchairs fit. Some very large powered chairs or specialist wheelchairs don’t fit. That’s why we need to discuss dimensions when you book.

Additional Passengers: Up to 3 companions can travel alongside the wheelchair user. Seats are standard passenger seats in the vehicle.

What Our Drivers Do (And Don’t Do)

This confuses, so let me be clear.

Our Drivers Will:

  • Deploy and secure the ramp
  • Guide the wheelchair safely onto the ramp and into the vehicle
  • Operate the wheelchair securing system
  • Ensure seatbelt is properly fastened
  • Load and unload luggage
  • Provide verbal assistance and guidance

Our Drivers Won’t:

  • Physically lift you from the wheelchair to the vehicle seat (we’re not trained for manual handling transfers)
  • Provide personal care assistance
  • Operate complex medical equipment
  • Make medical decisions about your safety

If you need physical transfer assistance from a wheelchair to a car seat, you need to travel with a carer who can do that. Our drivers are trained in wheelchair safety and vehicle operation, not personal care or manual handling.

This isn’t us being unhelpful. It’s about safety and liability. We’re a taxi company, not a medical transport service. There’s a difference.

Airport Transfers (Terminal Access and Timing)

Manchester Airport accessible pickups have specific procedures.

Arriving at Airport (When We’re Collecting You): We meet you at arrivals like any other passenger. The driver texts when positioned. You come from baggage claim to the meeting point. No different from non-accessible pickups except we’re in the accessible vehicle.

Going to the Airport (When We’re Dropping You): Terminal drop-off zones are the same for all vehicles. We pull up, deploy the ramp, you disembark, and we help with luggage if needed. Airport assistance services take over from there if you’ve arranged them.

Assistance at Airport: That’s the airport’s responsibility, not ours. If you need wheelchair assistance through check-in, security, or to the gate, contact the airport or airline directly to arrange special assistance. We only cover the journey from your home to the airport (or airport to home).

Flight Tracking: We track your flight automatically for return journeys. Land 2 hours late? Pickup time adjusts. Same as our standard service.

What We Can’t Do (Being Honest About Limitations)

We Can’t Accommodate:

  • Wheelchairs wider than 70cm
  • Wheelchairs longer than 120cm
  • Combined weight over 300kg
  • Bariatric wheelchairs (most are too wide or heavy)
  • Some specialist medical wheelchairs with extensive equipment
  • People who need stretcher transport (that’s ambulance service)

We Don’t Provide:

  • Medical transport for hospital emergencies (call 999)
  • Personal care during the journey
  • Manual handling for transfers
  • Medical equipment operation
  • Multiple wheelchair users in the same vehicle (capacity is 1 wheelchair)

How much does wheelchair accessible taxi cost?

Same fixed rates as standard airport transfers, plus £15 accessibility surcharge to cover specialist vehicle costs. Manchester city centre to the airport in an accessible vehicle costs the standard rate plus £15. This surcharge covers higher vehicle purchase costs (WAVs cost 40-50% more than standard vehicles), maintenance, and insurance. Carers accompanying wheelchair users travel free. Quote provided when you call based on your route.

Do I need to bring my own wheelchair securing straps?

No, the vehicle has a built-in four-point securing system. The driver operates this system and ensures the wheelchair is properly secured before the journey starts. You stay in your wheelchair throughout the journey unless you prefer to transfer to a standard seat (if you can do that independently or with a carer’s help). Lap and diagonal seatbelt fitted once the wheelchair is secured. The system meets all UK safety standards.

Can powered wheelchairs fit in the accessible vehicle?

Most powered wheelchairs fit if they’re within size limits: 70cm width, 120cm length, 135cm seated height. Combined weight limit is 300kg (wheelchair plus user). Very large powered chairs or specialist wheelchairs sometimes exceed these dimensions. Tell us the make and model when booking, and we’ll confirm if it fits. We’ve successfully transported Pride, Invacare, and Sunrise Medical powered chairs regularly.

How long does it take to load and secure a wheelchair?

About 3-5 minutes total. Ramp deployment takes 30 seconds. Guiding the wheelchair onto the ramp and into the vehicle takes 1-2 minutes. Securing a wheelchair with a four-point system takes 2-3 minutes. The total time from arrival to being ready to depart is typically 5 minutes. Airport drop-offs are quicker (2-3 minutes) because we’re just deploying the ramp and unloading rather than securing.

Can family members travel with me in an accessible taxi?

Yes, up to 3 additional passengers alongside the wheelchair user. The vehicle has standard passenger seats for companions, family, or carers. Children can travel with appropriate car seats (48 hours’ notice needed). If you need more than 3 additional passengers plus yourself in a wheelchair, that exceeds vehicle capacity. Some families book a second standard vehicle to travel alongside the accessible vehicle for larger groups.

What happens if an accessible vehicle breaks down?

We try to provide a backup accessible vehicle from the partner company if a breakdown happens. Manchester has a limited accessible taxi fleet across all companies, so this isn’t guaranteed. If a breakdown occurs before pickup and we can’t provide a replacement accessible vehicle, a full refund will be given, and we will help arrange alternative transport if possible. For airport returns, we monitor vehicle condition before dispatching to minimise breakdown risk.

Booking Timeline

With 2 accessible vehicles serving the entire Manchester area, we need advance notice.

Minimum Booking Window: 48 hours for standard transfers, 72 hours for airport transfers (especially early morning) 7 days for bank holidays or busy periods

Why So Much Notice? Say you want an accessible taxi for Saturday, 5 am airport transfer. We need to check if either accessible vehicle is available at that time. If both are already booked for other accessible transfers, we can’t help you. No amount of wanting to help changes the fact that we only have 2 vehicles.

Normal fleet bookings are easier because with 30 vehicles, someone’s usually free. With 2 accessible vehicles, availability is tight.

Same-Day Accessible Bookings: Very rarely possible. Only if both vehicles happen to be free and the timing works. Don’t rely on it.

Companion and Carer Travel

Carers: Carers travel at no additional charge if you’re the paying passenger and they’re accompanying you for care purposes. Just tell us when booking that you’ll have a carer with you.

Family or Friends: Up to 3 additional passengers can travel. They’re counted as regular passengers for capacity. If you’re in a wheelchair, plus 4 other people want to travel, that won’t work because the vehicle only seats 3 additional passengers.

Children: Car seats can be fitted in the standard passenger seats for children travelling with you. 48 hours’ notice needed for car seat requirements.
